We understand that situations change & that very occasionally it might be necessary to cancel your participation. If this happens, we will need to receive written notice.

Booth Information

Exhibits are set up throughout the hotel & are available mostly in increments of 10 feet. Some spaces are irregular & we do have some 8x10 feet spaces. The height of the celling varies in many places; however, we do not guarantee more than an 8 foot celling in any location.

Having a space previously does not guarantee that you will return to that same location. Intent Forms should be submitted as soon as possible but no later than September 15th. Priority placement is given to SNA Corporate Members. If you send in a request after the deadline you will be assigned to the waiting list to receive a booth assignment as they become available. While we try to be as creative as possible with our space assignments, we only have a limited amount of space where we are able to put displays.

Note: Due to the demand from the past few years, typically our spaces are gone by the end of October & you will be placed on the wait list.

Banquet Table Policy

We close the Symposium with our Annual Banquet. Due to space limitations we can only fit 100 tables in the room. If you purchase a table for your corporation we will provide you with 6 tickets to seat your employees. SNA uses the remaining 4 tickets to seat our invited guests who are active duty/government individuals.

Note: SNA is allowed to issue these invitations under a DoD/DoN classification of a Widely Attended Gathering. For us to do this we have ensured that all our seating is done on an impartial random process & that no special consideration was given. Therefore, it is imperative that you allow us to handle the invitation process & that you DO NOT invite any active duty or government personnel to use any of your 6 tickets.

Tables reserved after October 31st are on a space available basis. In order to be listed in the banquet program all reservations must be made by December 10th. If a reservation is made after that time, we can not guarantee that your corporation will be listed in our banquet program.

Payment Information

All payments must be made by the date specified on your invoice. In addition, ALL payments MUST be made prior to move-in. As a non-profit we encourage all our corporations to pay by check to avoid the very high fees that we incur on credit cards. We do understand however, that sometimes this is not possible. All prices quoted above are those for check payments. If you pay by credit card a 4% processing fee will be included in your invoice & we will send you a special payment link (Please note that we are unable to split invoices).

Cancellation Policy: We understand that situations change & that very occasionally it might be necessary to cancel your participation. If this happens, we will need to receive written notice. Once invoiced, any company canceling before November 30th is required to pay 50% of the total due shown on your invoice. Any cancellations received after that date will result in a full forfeiture of payment due.

Security Information

While we provide additional security for this event (monitor, access, crowd control, etc.), we can not be responsible for unsecured laptops or any unsecured items left unattended during open exhibit hours, set-up, or breakdown of the event.
